Add and correct time entries, including approval requests
Use Time Entries to add missing time or correct an existing entry. Depending on company policy and your access, a correction either saves directly or becomes a pending request for a Job Clock administrator to review.
Before you begin
- Job Clock and your user access must be enabled, and you must be able to access the selected project and work item.
- Choose a start and end time in the correct order. The end time must be after the start time.
- If the company requires approval for time edits, only an authorized reviewer can apply the requested change.
- Check the project, work item, and cost code before saving because these fields affect reporting and payroll exports.

Add or correct time

Open Time Entries
In the portal, open My Team, then select Time Entries. Use the date and user filters to find the correct entry.
Expected result: The list shows entries you are allowed to review or manage.

Add missing time
Select Add Time, choose the user, date, start time, end time, project, work item, and cost code where required.
Review the duration before saving. Do not create a second entry that overlaps an active or existing clock.

Correct an existing entry
Open the entry and change only the fields that are wrong. Add the reason or context requested by your company process.
If approval is required, JobBuddy preserves the original entry while the proposed change is pending.

Review a pending request
Open Pending Requests or Approvals, then select the request to open Review Time Entry Change.
Compare the current and proposed values. Select Approve to apply the change or Reject to keep the current entry.
Expected result: An approved request updates the time entry; a rejected request leaves the original values in place.

Confirm the final entry
Return to Time Entries and verify the final date, duration, project, work item, and cost code before payroll or QuickBooks export.
Understand approval states
The visible entry and the requested change remain separate until a reviewer decides the request.
Saved directly
The editor is permitted or excluded from edit approval.
Verify the entry. The corrected values are already on the time entry.
Pending
A proposed time-entry change is waiting for review.
Wait for a decision. Do not enter the same correction again.
Approved
An authorized reviewer accepted the proposed values.
Use the updated entry. The approved change is applied and retained in the audit trail.
Rejected
The reviewer declined the proposed values.
Review the reason. Correct the request details before trying again if another change is needed.
Troubleshooting
The end-time error prevents saving.
Make sure the end time is after the start time and that the date is correct. Review overnight work carefully instead of reversing the two values.
The edit is pending instead of saved.
Your company requires approval for this edit and you are not excluded. Have a Job Clock administrator review the existing request.
Approve or Reject is unavailable.
Confirm that the request is still pending and that you are an authorized Job Clock or company administrator. A requester cannot decide a request they are not allowed to approve.
The entry is not ready for payroll or QuickBooks.
Confirm the approval decision, project and work-item access, cost-code requirements, and that the entry has not already been exported.
What happens next
- Approved time appears with the corrected values in Time Entries.
- Payroll and export reviewers should use the final entry, not the pending request snapshot.
- The request and decision remain available as audit evidence.
