Configure Job Clock, pay periods, rounding, and edit approvals

Configure company Job Clock rules before employees begin clocking time. Pay schedule, entry rules, edit approvals, overtime, company hours, and per-user settings work together, so test the full policy before the next payroll period.

Before you begin

  • You need company-administrator access to change Company Settings. Job Clock administrators can manage timekeeping but may not be able to change company settings.
  • Decide the pay frequency and a known pay-period start date with the person responsible for payroll.
  • Decide the maximum daily hours, time increment, overtime policy, whether parallel clocks are allowed, and which edits require approval.
  • Confirm which users need Enable Job Clock and whether their clock-ins must stay within company working hours.

Configure Job Clock

  1. Enable Job Clock for the company

    Open My Company → Company Settings. Under Features, turn on Job Clock.

    Select Customize on the Job Clock row to open Time Tracking Settings.

    Expected result: The Job Clock settings window opens while the feature remains controlled by the row switch.

  2. Set the pay schedule

    Under Pay Schedule, choose Weekly, Bi-Weekly, or Monthly in Pay occurs every.

    In starting on, choose a real start date for the payroll cycle. JobBuddy uses the frequency and start date to group timesheets for review.

  3. Set entry rules

    Under Entry Rules, set Max hours per day and Time increment in minutes.

    The time increment is used when JobBuddy normalizes clock times. Align it with the company’s payroll policy before users start recording time.

    Policy changes affect payroll review

    Choose the effective timing with payroll. Do not assume a new increment or daily limit will rewrite every historical time entry.

  4. Decide whether parallel clocks are allowed

    Turn on Allow parallel clock-ins only when one person may legitimately track overlapping work.

    Leave it off when each user should have only one running clock at a time.

  5. Configure edit approvals

    Turn on Require approval for time entry edits when non-admin changes should become approval requests.

    Use Exclude Users to select people who may edit time entry details directly. Exclusions should be limited to trusted payroll or timekeeping reviewers.

    Expected result: Non-excluded, non-admin edits are held as pending approval requests instead of silently replacing the recorded time.

  6. Set overtime, time-off reasons, and location defaults

    Under Overtime, enter the hours threshold, period in days, and multiplier used in time calculations.

    Review the Time Off Reasons list and Default geofence distance if those workflows are part of your Job Clock policy.

  7. Save the company rules

    Select Save changes, then reopen Customize to confirm the saved values.

    Keep a record of the date the new policy should begin so payroll reviewers can distinguish older entries.

  8. Enable and restrict individual users

    Open User Admin → Users, select a person, then open Settings. Turn on Enable Job Clock for each user who records time.

    Turn on Restrict Clock-In to Work Hours when that person must clock only within the company’s configured Working Hours. Configure geofence checks and location settings separately where required.

  9. Run a policy test before payroll

    With a non-admin test user, clock in and out, try the allowed or blocked parallel-clock path, and submit an edit that should require approval.

    Confirm the time appears in the intended pay period and that the approver sees the pending request.

    Expected result: Clocking, rounding, pay-period grouping, and approval behavior match the written company policy.

Enable each user. The company module and user setting are both required.

Test before the next pay period

A setting can affect clocking, review, or payroll grouping. Verify a complete clock and edit-approval path before relying on a new policy.

Troubleshooting

A user cannot see or start Job Clock.

Confirm the company Job Clock feature is on, then open the user’s Settings and turn on Enable Job Clock. Also verify project and Item Type access.

A clock-in is blocked outside normal hours.

Check Restrict Clock-In to Work Hours on the user and review the company Working Hours and holidays. Change the policy only if the restriction is not intended.

A time edit became pending instead of saving directly.

Require approval for time entry edits is on and the editor is not excluded. Have an authorized approver review the request instead of entering the same change again.

A trusted reviewer’s edit still requires approval.

Open Job Clock → Customize, expand Exclude Users, add the reviewer, and select Save changes. Confirm that broad exclusion is appropriate for their role.

Timesheets appear in the wrong pay period.

Check both Pay occurs every and starting on. Use an actual payroll-cycle start date and coordinate any correction with payroll.

A second clock cannot be started.

Check Allow parallel clock-ins. Leave it off unless overlapping clocks are an intentional company policy.

Older entries did not change after the settings were updated.

Do not assume current rules retroactively rewrite historical records. Review and correct historical entries through the supported time-entry workflow.

What happens next

  • Field users can clock time only when the company feature, user setting, project access, and work configuration all permit it.
  • Edits covered by the approval policy remain pending until an authorized reviewer approves or rejects them.
  • Review Job Clock settings with payroll whenever working hours, pay cycles, or rounding policy changes.
Open Job Clock settings
