Understand estimate decisions, statuses, and revisions

Estimate status describes the customer decision and document lifecycle. Issued revisions are permanent snapshots; create a new revision when scope or pricing changes instead of replacing the document the customer reviewed.

Before you begin

  • Customer approval or rejection requires an issued revision and a valid customer link.
  • An issued revision is locked from editing.
  • Review the decision, revision number, and current active link before taking another action.

Handle an estimate decision

  1. Open the estimate history

    Open the estimate and confirm its status, revision number, customer decision, and recent activity.

  2. Preserve the issued decision

    Keep the issued revision and any recorded signature or decision as audit evidence. Do not overwrite the reviewed document.

  3. Respond to requested changes

    If scope or pricing must change, select Create New Revision. Update and review the new draft, then issue it when ready.

    Creating a new revision supersedes the old active link without deleting the old snapshot.

  4. Continue approved work

    For an approved estimate, review any configured work-item creation and payment schedule. Confirm the resulting records instead of assuming every company uses the same follow-through.

Understand estimate statuses

Draft

The current revision is still being prepared.

Review and edit. It has not yet been issued to the customer.

Sent

An issued revision is available through a customer link.

Monitor the decision. The issued snapshot is locked.

Approved or Rejected

The customer recorded a decision against the issued document.

Preserve the evidence. Use a new revision for subsequent changes.

Expired

The offer is no longer active under its timing rules.

Review before renewing. Create and issue the appropriate current revision.

Closed

The estimate is no longer active for ordinary follow-up.

Review history. Confirm company policy before reopening or replacing it.

Do not replace an issued revision

The revision is the record of what the customer reviewed. Create a new revision when prices, scope, options, terms, or attachments change.

Troubleshooting

The estimate fields are locked.

Check the revision state. Issued revisions are locked; select Create New Revision if you have manage access.

A customer used an older link.

Confirm which revision received the decision and whether a newer revision was issued. Preserve both records and follow the current revision workflow.

Approval did not create expected follow-up work.

Check the company Estimate setting for automatic item creation and confirm the configured Item Type and resulting project record.

What happens next

  • Approved and rejected decisions remain attached to their issued revision.
  • A new revision starts as a draft and must be reviewed and issued separately.
  • Payment schedules and invoices continue as their own financial records.
